DepositsBack.app (“we,” “us,” or “our”) operates the Service at depositsback.app. This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Service.

  • property address, landlord name, and related case details;
  • uploaded documents, images, and communications;
  • forwarding address and mailing details;
  • payment-related information processed through our payment provider.

  • device and browser information;
  • IP address;
  • usage and activity data;
  • session and log data.

We use information to:
  • provide and operate the Service;
  • organize and display uploaded documents;
  • extract and confirm factual information from uploaded materials;
  • prepare notices for your review;
  • process payments;
  • arrange mailing and delivery tracking;
  • provide case bundle downloads;
  • communicate with you about your account or case;
  • maintain security and prevent abuse; and
  • comply with legal obligations.

Information sharing

We do not sell your personal information.

We may share information with third parties only as necessary to operate the Service, including providers that support:

  • payment processing;
  • mailing and delivery;
  • hosting and storage;
  • OCR or AI-assisted document processing;
  • email delivery; and
  • security and operational support.
We may also disclose information:
  • when required by law;
  • to protect our rights or the safety of users or others; or
  • with your consent.

Cookies and similar technologies

We use cookies and similar technologies to operate the Service, maintain sessions, improve functionality, and understand usage. You can manage cookies through your browser settings, although some parts of the Service may not function properly without essential cookies.

Data retention

We retain information for as long as reasonably necessary to provide the Service, maintain records, resolve disputes, prevent fraud, comply with legal obligations, and enforce our policies. Retention periods may vary depending on the type of information and the purpose for which it was collected.

We use reasonable administrative, technical, and organizational measures to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Data deletion

You can permanently delete your account at any time from your account settings page. When you do, we erase your account record together with all data attached to it, including:

  • your account and login credentials;
  • your cases and the landlord, property, and tenant details you entered;
  • letters and PDFs generated for your cases, along with delivery and tracking history;
  • documents you uploaded (lease, deductions notice, photos, receipts);
  • landlord responses and any reply files you uploaded;
  • case bundles, court kit documents, address candidates, and QA records.
What we retain after deletion:
  • a minimal audit record showing that an erasure event occurred (without identifying information beyond the original account identifier), for fraud-prevention and compliance purposes;
  • aggregated and anonymized operational telemetry that does not identify you;
  • records held by our payment processor (Stripe), which retains transaction details (amount, date, payment method) to meet financial-compliance obligations and to support refunds and chargebacks. We remove your name and email from those Stripe records as part of deletion.

California notice

If you are a California resident, you may have additional privacy rights under applicable California law, including rights related to access, correction, deletion, and portability. We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.

Children’s privacy

The Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children under 18.

Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we may notify users by email or by posting a notice on the Service. Continued use of the Service after changes become effective constitutes acceptance of the updated Privacy Policy.
